We were in a meeting with a client which we have worked with on a number of promotional pieces before. It was the first time we had sat down with this client and talked about really what we did and our full reach.
The main points we were talking about were our reporting systems and how we work so we thought we might post a blog about them. All this information is posted elsewhere on our website but to make life easier we decided to post it in one place
If you don’t read another post on here, this is the best one to read.
Staff Database
Now, it is nothing new having a database of staff to call upon when you need them, but our system is a pretty clever one. As we are all particularly nerdy here, we have fully customised a tried and tested system to match our requirements.
Staff Selection Process
The adverts are posted into our staff database, this notifies all our staff in the local area usually up to about 30 miles from the site. Staff can then “apply” for this work which builds a short-list of candidates in the area. Our staff bookers then go through the process of selecting the best candidates from our workign experience with them, their current CVs, references and industry ratings. We will only supply staff where the staff are experienced for the role.
The response we get from our staff database adverts and job’s board means we can have choice and choice brings quality and quality brings happy clients.
Casting Days
We also run casting days for staff where the client wants to have a more in depth selection process and full control over the staff members selected.
Pre Activity Instructions & Training
We feel this is as important as our candidates profiling stage so we have a dedicated team who make sure the staff arrive at their shifts not only on time and presented but also to know what they are doing. We have various ways to do this from simple telephone training, web conferences or complete on site training days.
Reserves
For every shift we run we also book a reserve staff member for the shift. With the best will in the world we deal with human beings and with this comes illness etc. In order to make sure we don’t let down the client we are representing. Due to our database having short-listed candidates we choose one of the remaining candidates as a reserve. Simple? Yes. Effective? Yes. Does everyone else do it?
having reserves for every shift means we can quickly and easily deal with illness or a staff attendance issue. No panics, just a smooth fix before the shift begins.
Activity Reporting
Now we did mention that we were particularly nerdy, so be warned this might contain some IT related points!
On-line Post Activity Reports
For smaller, one off or segmented bookings, we will provide a post activity report which you will will view through your own private web page. This contains feedback from our activity feedback report (which is a generic form that captures your campaign details).
Client Data Portals
We have one of our customers who requires (and rightly so) feedback from every shift we do, the trouble is she needed to send this information to all her regional managers including photos from every shift. We built a reporting hub allowing her to log in and see the feedback submissions.
We have used many agencies previously but none compare to the service we get from Executional and the quality of the staff they provide. Their feedback reporting is unique and very valuable enabling us to gauge the public’s response to all our marketing campaigns.
